Mesakem records and summarizes meetings and calls for the people who use it. Recording other people comes with legal duties. This page explains how Mesakem keeps recording visible, what you are responsible for, and what participants can do.
The meeting assistant is visible
- In Zoom, Microsoft Teams and Google Meet, Mesakem joins the meeting as a participant. It appears in the participant list under its own name, like anyone else in the meeting.
- The name shows that it is the Mesakem assistant. By default it is the user's first name followed by MesakemAI, for example "Dana's MesakemAI". In an organization account, it is the organization's name followed by "(Mesakem)".
- Its microphone is muted, and it does not speak.
- It joins only meetings that a Mesakem user sent it to: by inviting it, from the dashboard, or from a calendar the user connected to Mesakem.
- After the meeting, the summary is sent only to email addresses the user has verified.
The host stays in control
- Depending on the meeting settings, the host may need to let the assistant in from the waiting room. If it is not let in, it cannot record.
- The host, or anyone allowed to manage participants, can remove the assistant at any time, like any other participant. Once it is removed, it no longer records the meeting.
Recording without the meeting assistant
Some ways of using Mesakem do not add a participant to the meeting. In these cases the people you record do not see Mesakem, so telling them is up to you:
- Desktop app: The Windows and Mac app records the meeting on your computer when you start a recording. No participant is added to the meeting.
- Uploaded recordings: Upload only recordings you have the right to use.
- Phone calls: Mesakem summarizes call recordings that your call-recording provider has already made. Make sure the other side knows the call is recorded, where the law requires it.
- Smart dictation: Uses your microphone only while you dictate, and is meant for your own voice.
Your responsibility: inform participants and get consent
You are responsible for using Mesakem lawfully, as our Terms of Service also say.
Recording laws differ from place to place. In some places it is enough that one person in the conversation agrees to the recording (often called one-party consent). In others, everyone in the conversation must agree (all-party consent). Privacy, data protection and employment rules can add more duties, such as explaining why you record and how the recording is used.
- Tell participants that the meeting is recorded and summarized with Mesakem, before the meeting or when it starts. You can add a line to the meeting invitation, or say a short sentence at the start.
- Get consent wherever the law requires it, and keep a record of it when needed.
- When participants are in different places, the safest approach is to follow the strictest rule that applies.
- If someone objects, stop the recording or remove the assistant from the meeting.
This page is general information, not legal advice. If you are not sure what applies to you, ask a lawyer.
Covert recording is not allowed
Mesakem is built to record in the open. You may not use it to:
- Record people who do not know they are being recorded, where the law requires that they know or agree.
- Record, listen to or capture a meeting or call that you are not part of and have no right to record.
- Hide or disguise the meeting assistant or a recording, or mislead people about whether they are being recorded.
- Keep recording after someone asked you to stop, when you no longer have the consent you need.
- Record sensitive conversations, such as medical, legal or therapy sessions, without the consent that the law or your professional rules require.
- Use recordings to harass, threaten or blackmail anyone, or to invade their privacy.
The full list is in our Acceptable Use Policy. We may suspend or close an account that breaks these rules.
If you were in a meeting recorded with Mesakem
The recording, transcript and summary are kept in the account of the Mesakem user who recorded the meeting, until that user deletes them.
- The quickest way to have them deleted is to ask that person. They can delete the meeting from their dashboard, and it is deleted from their account immediately.
- You can also write to support@mesakem.com. Tell us the date and time of the meeting, the platform, and the name or email address of the person who recorded it, so we can find it. We pass your request to the account owner, who decides about the content in their account. Where the law requires us to delete it ourselves, we do.
- When a Mesakem user deletes their account, everything in it, including recordings, is permanently deleted, as our Privacy Policy describes.
For more about the data we keep and your rights, see our Privacy Policy.
